Distribution list, or commonly known as contact group, is a media that is provided in Microsoft Outlook to send email to multiple people, such as in committees, project teams, or even just a group of friends. You no longer need to add any names you want to include in a contact group. So, how to create a distribution list in Outlook properly?
How to Create a Distribution List in Outlook 2016 and 2013
Creating a distribution list is not too complicated. However, you should know which version of Outlook you are using on your device. Therefore, here is the following list of steps on how to create a distribution list in Outlook 2016 and 2013.
- In the Navigation bar, click ‘People’. In Outlook 2016, the bar turns into icon form.
- Under ‘My Contacts’, select whether you want to add a contact group. For this example, click ‘Contacts’.
- Click ‘Home’, and then click ‘New Contact Group’.
- On the ‘Contact Group’ tab, in the ‘Name’ box, type a name for the group.
- Click ‘Add Member’, then add people from your contact list or address book.
- Click ‘Save & Close’.
Create a Distribution List using E-Mail.
In addition to creating your own, you can also add a distribution list of contacts using your E-Mail. Here are the steps.
Open E-Mails that is sent to people you want to put in contact group.
In the ‘To’ or ‘Cc’ box, highlight all names with the mouse.
Right-click on your selection, then click ‘Copy’ or press Ctrl + C.
In Outlook (not in the open E-Mail), click ‘People’.
Click ‘Home’, and then click ‘New Contact Group’.
Type a name for your contact group, like a ‘Custom Project’.
Click ‘Add Member’, and then click ‘From Outlook Contacts’.
In the open window, right-click inside the ‘Member’ box. Then, click ‘Paste’, or press Ctrl + V.
Click ‘OK’. People from E-Mail will appear as a list of members of your contact group.
Click ‘Save & Close’. Contact group will appear in the contact list, along with everyone. You can tell the difference with the icon that appears to the left of the name in the list view. Card icon for individual contacts and people icons for contact group.
